It depends on
what you need
and when you ask.
A single service request, say a chauffeur pickup from MIA or a dinner reservation at a members-only restaurant, can be confirmed in under two hours. A fully managed stay, villa staffed and stocked before you land, yacht chartered for three days, executive protection in place, typically requires five to seven business days of lead time to execute properly.
The variable is complexity. One request handled by one vendor is fast. Ten requests across six vendors, some requiring permits or security vetting, take longer. This page breaks down realistic timeframes for every major service category we manage across Miami and Florida.
Luxteria operates across Miami, Miami Beach, Brickell, Fort Lauderdale, Hollywood, Boca Raton, West Palm Beach, Sunny Isles Beach, Surfside, Bal Harbour, Bay Harbor, Golden Beach and Aventura. We hold standing relationships with the vendors, properties, and venues that matter, which is what allows us to compress turnaround times that would be impossible for a first-time caller.

Villa & Property Setup
Sourcing an off-market luxury villa in Miami typically takes 24 to 72 hours for confirmed availability, depending on the dates, guest count, and specification tier. Staffing the property, housekeeping, a private chef, a house manager, takes an additional 48 to 96 hours if you want vetted personnel rather than whoever is available.
If you are arriving in less than 48 hours, we can often place a property and a base staff package, but the selection narrows. Booking four to ten days out gives you full access to our Florida luxury villa portfolio, including waterfront estates on Star Island and off-market homes in Coral Gables and Coconut Grove.
Yacht & Charter Logistics
Day charters across Biscayne Bay can be arranged in 24 to 48 hours if you are flexible on vessel size. A specific superyacht or a crewed overnight adds one to two weeks depending on vessel availability and permitting.
Our yacht charter concierge handles provisioning, captain coordination, and itinerary filing. We also arrange sunset cruises, fishing excursions, and multi-day liveaboard experiences. The more specific the request, the more lead time improves the outcome.
Transportation & Arrival
Ground transportation is the fastest category to arrange, typically confirmed within one to four hours. That includes chauffeur-driven vehicles, Sprinter pickups, and motorcade coordination from MIA, FLL, or OPF.
Our chauffeur service in Miami and luxury Sprinter transfers are available on short notice. Private jet coordination is different: positioning an aircraft, filing flight plans, and arranging FBO services at OPF or MIA generally requires 12 to 48 hours minimum.
Service timelines
Every service,
every timeframe
These are realistic windows based on how our vendor network actually operates. Rush requests are possible, but they come with trade-offs, fewer choices, higher rates, less vetting time.
01VIP Nightlife & Restaurant Access
Same-day to 24 hours for most South Beach, Brickell, and Wynwood venues with standing relationships. Last-minute table requests at closed restaurants or private member clubs in Las Olas require 48 to 72 hours and direct contact with house management.
Major events like Art Basel, F1 weekend, and Ultra require reservations weeks or months out. If you are traveling during peak season (November through April), contact us before you book flights.
02Private Chef & Catering
48 to 72 hours for a single-evening private chef booking. Weekly meal service or a dedicated in-residence chef requires five to seven days to vet and place properly.
Dietary requirements, kosher or halal preparation, allergen protocols, all of these need to be communicated upfront. A chef placed without this context creates problems on the night. We confirm the menu and shopping list at least 24 hours before service.
03Security & Executive Protection
Minimum 72 hours for a basic close-protection detail. Advance route surveys, venue security coordination, and multi-agent teams require five to ten days. Longer lead time is not bureaucracy, it is the time needed to do the job correctly.
Our security services in Miami cover personal protection, residential security, and transport security.
04Wellness, Spa & Personal Care
In-villa massage, aesthetician, and trainer bookings: 24 to 48 hours. Specialist practitioners, regenerative medicine appointments and private fitness instruction can often be arranged within the same window in Miami.
For multi-week wellness programs or medical-adjacent services, two weeks allows us to vet, schedule, and coordinate with any existing care providers the client works with.
05Family & Household Services
Nanny sourcing and family staffing require five to ten business days for proper background vetting and reference checks. Placing unvetted childcare staff faster is an option some clients ask about. We do not offer it.
Multi-property family coordination, traveling with multiple children and their respective schedules, requires a dedicated coordinator. Our Florida luxury family services cover nanny sourcing and activity scheduling across properties.
06Relocation & Long-Term Setup
A managed relocation to Miami typically spans 30 to 90 days from initial brief to settled residence. That window covers property sourcing, lease negotiation, vendor setup, vehicle registration, and household staffing.
Our luxury relocation concierge plans moves into South Florida, from Miami to West Palm Beach. The timeline depends almost entirely on how quickly the client can make decisions, not on how fast we can execute.
The process
What happens
after you
call us
"The villa is already running before you land."
That is the standard we hold ourselves to on every arrival.
✓ Single point of contact throughout ✓ Pre-arrival briefing document provided ✓ 24-hour contact line during your stay ✓ All vendors confirmed in writing before you arriveStep 1: Initial brief (Day 1, under one hour)
You call 305-465-5555 or submit a request. A senior concierge speaks with you directly, not a form or intake queue. We capture dates, property preference, headcount, known requests, and any privacy or security considerations. This call typically runs 15 to 30 minutes. From it, we generate an initial scope document sent back to you within two hours.
Step 2: Vendor outreach and confirmation (Days 1-3)
We contact every vendor required, property managers, charter companies, staffing agencies, transportation providers, in parallel, not in sequence. This parallel approach is what compresses the timeline. By day three of a standard request, most confirmations are in place and you receive a master itinerary with confirmed names, contact numbers, and arrival times for every element.
Step 3: Pre-arrival preparation (Days 3-6)
This is where most of the invisible work happens. The villa is inspected, stocked with requested provisions, and brought to temperature. Staff receive a briefing on your preferences, dietary requirements, and household protocols. The vehicle is confirmed for arrival time. Security conducts a route survey if required. You receive a final confirmation 24 hours before arrival.
Step 4: Arrival and on-trip management
Your concierge is reachable throughout the trip. Additions, cancellations, and adjustments are handled in real time. If a restaurant cancels, we replace it before you find out it was a problem. If you want to extend the yacht by a day, we call the captain.
For clients who return to Miami regularly, we maintain a standing preference file so each visit requires less briefing time. Returning clients typically need only a 10-minute call to set up a new stay.
What affects your timeline
Why some requests
take longer than others
●
Seasonal demand
Miami's high season runs from late November through April. During Art Basel (December), F1 week, and Spring Break, available inventory at the top tier compresses sharply. Requests that take 48 hours in September may take 10 days in February. Book earlier during those windows, or brief us as far out as possible.
●Specification tier
A four-bedroom villa with a standard setup is available year-round with short notice. A nine-bedroom waterfront estate with a full domestic staff, private dock access, and a specific kitchen build requires more lead time because there are fewer of them. The more specific your requirements, the longer the sourcing window. Being flexible on one or two specs can cut days off the timeline.
●Decision speed
The single biggest variable in any timeline is how quickly the client reviews and approves options. We can present a villa shortlist within six hours. If that shortlist sits unreviewed for two days, those two days are added to the timeline. Our most efficient clients review and approve within 12 hours of receiving options. That discipline makes everything else move faster.
Corporate & Executive Travel
Corporate travel logistics for an executive team of five to fifteen people typically requires seven to fourteen days to plan correctly. This includes hotel or villa block bookings, coordinated ground transport from multiple arrival times, meeting room sourcing, catering for working sessions, and security briefings if required.
Single-executive trips are faster. A solo executive arriving in Miami for three days of meetings can be fully set up, car, driver, accommodation, restaurant reservations, and any evening requirements, in 48 to 72 hours.
The Miami Florida lifestyle page covers what the city actually offers beyond the standard itinerary, useful for executives bringing spouses or clients who want something beyond the usual dinner and golf.
Personal Shopping & Gifting
Personal shopping requests, sourcing specific pieces, Hermes allocation access, custom gifting for arrivals, can often be handled in 24 to 48 hours for items in market. Sourcing limited-edition or allocated goods that require relationships takes longer, sometimes a week or more depending on what is being tracked down.
In-villa arrival gifts are confirmed as part of the pre-arrival setup. We ask about these during the initial briefing call and have them in place before the client walks in.
For high-value jewelry, art acquisition, or watch sourcing in Miami, allow a minimum of five business days. Miami has strong dealer networks for these categories, but the right piece takes more than a single call.
Common questions
Questions we hear
before every engagement
Can you handle a request the same day I land?
Yes, for transportation, restaurant reservations, and some nightlife access. For anything involving a property, a chartered vessel, or staffing, same-day is generally not possible at the standard we hold. We will tell you honestly what is available at short notice and what the trade-offs are rather than overpromise and underdeliver.
Is there a minimum trip duration or spend?
We do not publish minimums publicly. In practice, our service is designed for stays of two nights or more with a meaningful service scope. A caller looking for a single dinner reservation is better served by a restaurant booking service. A client planning two days in Miami with ground transport, accommodation, dining, and an activity is exactly who we work with. Call 305-465-5555 and we will tell you directly whether we are the right fit.
How do I know what is confirmed versus pending?
Every service we manage has a confirmed status before we present it to you. We do not send options that are subject to availability without labeling them clearly. Your master itinerary document shows confirmed items with vendor contact details and pending items with expected confirmation times. Nothing is marked confirmed until the vendor has given us a written commitment.
Do you work outside Miami?
Yes. We operate across South Florida, including Miami, Fort Lauderdale, and West Palm Beach. For clients arriving by private jet, we coordinate across South Florida FBOs.
What is the best way to start?
Call 305-465-5555. A human answers. Tell us your dates and what you are trying to accomplish. We will give you an honest read on what is possible in your window and what would require more lead time. Most initial calls run under 20 minutes and result in a scope document the same day.
Where can I read about Florida's regulations around private security and staffing?
Private security licensing in Florida is governed by the Florida Department of Agriculture and Consumer Services, which oversees the Division of Licensing. Domestic worker standards and household employment guidelines are covered broadly by the U.S. Department of Labor.
